User Data Deletion

This page explains how users can request deletion of personal data handled by ThoughtfulAI Studios Private Limited ("StoreCrew", "we", "us", or "our") in connection with the StoreCrew platform, websites, hosted stores, and related services.

1. Who can request deletion

You may request deletion if you are:

• a StoreCrew merchant, account owner, admin, or authorised team member;
• a person who contacted StoreCrew through our website, WhatsApp, email, or support channels;
• a shopper whose personal data was processed through a StoreCrew-hosted merchant store; or
• an authorised representative acting on behalf of any of the above.

2. How to submit a request

Email storecrew@thoughtfulstudios.ai and include enough information for us to identify the relevant data:

• your full name;
• the email address and phone number used with StoreCrew;
• your business name, StoreCrew store URL, or order details, if applicable;
• whether you are a merchant user, team member, shopper, or visitor; and
• whether you want account deletion, deletion of specific data, withdrawal from marketing communications, or another action.

Please do not send sensitive payment credentials, passwords, full card numbers, Aadhaar numbers, PAN numbers, or unnecessary identity documents by email.

3. What happens next

1. We acknowledge the request and may ask for information needed to verify your identity or authority.
2. We identify the relevant StoreCrew systems, support records, marketing lists, and merchant store records.
3. We delete or anonymise eligible personal data and close the account if account deletion was requested by an authorised account owner.
4. We confirm completion or explain any limited data we must retain for legal, security, accounting, dispute-resolution, or operational reasons.

We aim to complete verified deletion requests within 30 days. Complex requests, merchant-store shopper requests, or legally sensitive requests may require additional time, in which case we will keep you informed.

4. What we delete or anonymise

Depending on your relationship with StoreCrew and the scope of the request, deletion may include:

• merchant account profile details such as name, email address, phone number, and login access;
• support, onboarding, or sales contact records that are no longer needed;
• marketing contact preferences and mailing-list records;
• uploaded store content, product data, customer lists, and order data where deletion is requested by an authorised merchant account owner; and
• shopper records where the merchant instructs us to delete data we process on their behalf.

5. What we may retain

Some data may be retained where required or permitted by applicable law, including:

• billing, invoice, payment, tax, accounting, and audit records;
• records needed to detect fraud, prevent abuse, maintain security, or resolve disputes;
• transactional records needed by a merchant to fulfil legal or customer obligations;
• data in encrypted backups until those backups expire or are overwritten in the ordinary course; and
• aggregated or anonymised analytics that no longer identify an individual.

6. Shopper data in merchant stores

If you are a shopper who purchased from a StoreCrew-hosted merchant store, the merchant is usually the Data Fiduciary for your order and customer data. StoreCrew processes that data on the merchant's behalf.

You may contact the merchant directly for the fastest response. If you contact StoreCrew, we will help identify the relevant merchant or coordinate with them where appropriate. We may need the merchant's instruction before deleting shopper data that belongs to their store records.
